Importing Booking Data

Importing booking data from other platforms into Obee ensures you retain your guests dining history.

For most venues we recommend that you and your team transpose future bookings in to Obee by hand as part of your training and setup with us, you can book this online via this link. If you have a large volume of your future bookings we can schedule your import inline with your go-live date, please contact our support team to co-ordinate.

To get started please provide the data in a spreadsheet, either as an Excel file (.xls or .xlsx) or comma-separated values file (.csv). Please ensure the first row in the spreadsheet features headings for each column and you let our team know how each column in your spreadsheet corresponds to Obee's available data points outlined below.

Required data

Booking Name
  • The name of the booking
Date
  • The date of the booking, a valid date with year must be provided.
  • Date values between rows must be consistent in their format.
Time
  • The time of the guests booking
  • The time can be provided in 24 hour format, or with a trailing AM/PM 
Guests
  • The number of guests attending
  • This is numeric
Guest Contact Details
  • The guests name (may be the same as the booking name) and at least one form of contact
  • For bookings where a form of contact is not provided the booking will still be imported, but no guest profile will be attached.
  • See Guest Import Guide (** add link **) for all fields, these can be provided in the same file as booking data (if the files come separately please add a unique guest identifier / id to both files so the guest can be linked to the booking)

Recommended data

You can manually add or edit most of the data below after the import has taken place.

Area

  • If you have multiple dining areas please indicate in one of the columns which area this booking should go in to. 
  • The data in this column should align with the area names in your Obee account, if there is no match, or it's not specified all bookings will go in to the first area within your Obee account.

Restaurant Comments

  • A private note against the booking which is not shared with guests

Customer Comments

  • Any notes the guest has provided, typically these are provided at the time of booking
  • These may be shared back to the guest (e.g. in booking reminder emails)

Table Number

  • The table allocation for this booking. 
  • It's your responsibility to ensure that the table numbers match the table settings in your Obee account. 
  • Table allocations are imported as provided and not checked for validity.

Additional data

Status

  • All bookings will be imported as "booked" however you can specify any of the following: "Booked", "Confirmed", "Arrived", "Finished", "Cancelled", "No Show", "Waiting List"

Booking made

  • The day and time the booking was originally taken

Booking Type

  • Internet, Phone, Email or Walk-in

Taken By

  • For Phone and Email bookings, the name or initials of the staff member who originally took the booking

Booking Duration

  • The duration of the booking in minutes (e.g. 90 or 120)
  • If this is provided it will over-ride your Obee account settings
